Questions about the inventory with RFID:

The RFID technology is worthwhile for you if large numbers of inventory items or particularly high-quality assets are to be taken up. The conversion to RFID significantly accelerates the inventory process and saves resources.

Active RFID tags have their own energy source that enables them to send asset information automatically at regular intervals using a radio signal. Passive RFID tags do not have their own power supply; the supply voltage is transmitted wirelessly from the reader to the tag. These are ideally used for inventory, as no continuous information is required. As soon as it comes close to an RFID reader, the chip in the RFID tag is “switched on” and then sends the tag’s individual hexadecimal value to the reader.

The RFID technology allows IT administrators and inventory managers to keep track of their systems and achieve their IT or enterprise asset management goals in multiple ways. These include asset monitoring and tracking as well as the ability to process additional information about an asset when it is in front of you.

The identification of the right labels for the desired application area represents the greatest challenge for the use of RFID labels. FCS offers cooperation with various suppliers to select the ideal labels for the RFID project. The specialists at FCS have the experience to advise you comprehensively.

In order to work with barcode or RFID, the following is required:

The installation of Asset.Desk (the required software), as well as the setup of the database, is done with a few clicks.

When coding the labels or tags, a distinction has to be made between whether printers can be used that code etiquettes via an RFID module or whether special tags have to be used that have to be coded individually. If everything runs on a printer, then the time required is comparable to that for conventional labeling with barcodes. If there are only simple requirements for the inventory number ranges, then the tags can also be pre-coded during production in the factory.

As each environment has to be distinguished differently, e.g. whether furniture, office IT or server rooms have to be inventoried, this must be clarified in advance, ideally at a workshop. This is where it is decided which labels or tags have to be used to achieve the ideal result for the RFID project.

The operation of the App Asset.Desk Mobile+ is intuitive. However, it is advisable to instruct the personnel involved in the processes, as is the case with any activity. Extensive training is not necessary.

Inventory via RFID – How it works!


With Asset.Desk you can independently print RFID or barcode labels. RFID tags are ideally printed using an RFID printer (inventory numbers, company logo, etc.) and simultaneously coded (inventory numbers, furniture type, etc.).


The data required for an inventory are transferred to the mobile device.


In the next step, the RFID labels or tags are attached during the introduction of the inventory process and the linking of the respective objects in the app is carried out.


With the RFID reader, all assets in a room can be captured. The tags automatically report back.


Missing, moved, unexpected, counted and new objects are displayed in a clear list. Further new objects can be entered directly.


Synchronization with the Asset.Desk database. The result list can be edited. To avoid errors, changes to the inventory must be confirmed.


Finally, the inventory is automatically prepared in AssetDesk according to the inventory results and marked as recorded.

Advantages of inventory with RFID

  • Labels are often invisible (i.e. hidden) stuck, reading them is often difficult to even with barcode readers: with RFID there is no need to search under a desk: UHF RFID labels are automatically detected by the reader over a distance of several meters
  • Scanning labels individually cost a lot of time: The time saving for inventory with RFID is approx. 80% (a walk through the room is usually sufficient)
  • The memory of the RFID labels can contain many other data in addition to the inventory number, such as model, serial number, date of purchase, warranty expiration or supplier
  • At times, “asset corpses” are created that have been forgotten or overlooked: RFID labels draw attention to themselves independently
