May we introduce…?

Bob is an assistant to the management in a medium-sized company.
His task is to support the management in the daily business.
He coordinates appointments and makes sure that meetings can run stress-free and without complications.

His daily work often includes the short-term planning of business appointments.
This morning his boss gave him the order to set up a meeting for tomorrow. A total of three colleagues and five new business partners will be attending this event. His boss gives him a list of items that are absolutely necessary for the business meeting.

Bob also has an assistant: Reserva – the intuitive reservation portal for business purposes

1. Access to the portal

Reserva is a web application and can be easily opened using any standard browser. Bob is therefore not tied to his workplace and his PC, he can also simply log in via his service smartphone or laptop.

2. Log In

In his daily work Bob has to manage countless passwords. With Reserva this is not necessary. Bob can simply log in to the reservation portal with his Windows password.

3. Select period and book room

The first thing Bob does is to choose a suitable room.
He determines the period of time for which he needs it: Tomorrow, 2:00 to 4:00.
The room must be designed for at least eight people. Reserva provides an interface to the company’s inventory program (e.g. Asset.Desk). When Reserva was set up, it was possible to define which information on the individual rooms and objects should be transferred from an inventory database to Reserva, for example the maximum number of people in the room. Bob can therefore easily search for conference rooms with 8 people using the search bar.

Suddenly he encounters a problem: There is no suitable room available for the selected period. What now?
Reserva is equipped with intelligent time management and indicates that a suitable room becomes available from 14:30. Bob brings the planned factory tour forward to 13:30 and reserves the room one hour later

4. Reserve appropriate inventory

By default, the reserved room is equipped with two tables and two chairs each, Bob can also see this in the room information. In addition he needs two tables and four chairs.
Besides rooms Bob can reserve and lend inventory and objects of all kinds. To ensure that all chairs and tables are uniform at the meeting, Bob takes the model name of the chairs and tables from the room information and copies it directly into the search bar. Reserva can also pull this information from Asset.Desk, provided the administrators specify this. All Bob has to do is specify the number of tables and chairs required and add them to the shopping basket.

5. Borrow work equipment

Bob still needs: a laptop, a beamer and two flipcharts.
His boss has not explicitly specified which technical features the laptop and beamer must have. So Bob is flexible. One after the other he enters “laptop” and “beamer” into the search bar, this time he opens the calendar view of the reservation portal and selects the desired period. All devices that are available at the desired time under these keywords are listed with their technical information. He selects the appropriate ones and adds them to the shopping cart.
For the flipcharts, he enters the keyword in the search bar, selects two copies and adds them to the shopping basket as well.

6. Double Check: Better safe than sorry

Bob is a conscientious worker, his job involves accuracy.
To ensure that this meeting goes smoothly, he checks once again which rooms, which inventory and which objects are now in the shopping cart and whether he has thought of everything. The shopping cart provides a complete overview.
Controlled and correct. The shopping cart can be sent off and the reservation can be entered.

7. Day of the meeting

In order to set up, connect the technical equipment, distribute snacks and drinks as well as giveaways, Bob reserves a room in principle half an hour before the start of the meeting.
But thanks to the default settings in Reserva, he no longer has to worry about cleaning the room. The administrators have specified that each object and room must be available half an hour before the meeting to carry out cleaning work or minor repairs. During this set-up period, users cannot borrow the object or reserve the room, but they don’t even notice it themselves.
