Inventory with RFID
of organizational costs
An effective one mobile inventory support plays a key role in reducing organizational costs. The basis is a well maintained inventory database. However, this not only serves to fulfill obligations, but can also save costs by facilitating the work of controlling, accounting, administration, support and much more.
Overview of heterogeneous system landscapes
It is still a challenge for companies to precisely determine the inventory of their IT hardware. Because the heterogeneous system landscapes have often grown successively. New devices were implemented without properly capturing them. With Radio Frequency Identification (RFID), the IT inventory can be precisely controlled and tracked.
and cost reduction
Labels for identifying assets are often stuck invisibly, i.e. under the edges of tables or in cupboards. Locating and reading these labels is difficult, even with a barcode reader. Today, UHF RFID technology allows the tags to report themselves to a reader when it is brought close to them.
Database supported software
in connection with RFID
Our IT asset management solution Asset.Desk enables an RFID-based inventory in addition to the inventory with barcode labels.
With the RFID coding you simplify your inventory process considerably. In addition to the inventory number, the memory of the RFID labels can also record many other data, such as model, serial number, date of purchase, warranty expiration or supplier.
A database-supported software for mobile inventory accelerates inventory control significantly and in connection with RFID you save further on costs and time!
- Asset.Desk offers a central database for managing all assets
- Makes it possible to map relationships between assets and locations, buildings, rooms, parts of the company and cost centers
- Enables inventory management with change history and inventory stamp
- Revision security is established
Assets, i.e. valuables or simply inventory, must be recorded, which is required by law. Ideally, the inventory should have an individual label for this.
Exact Control and
tracking of the IT and asset inventory
What can be inventoried with RFID:
All other assets (furniture, coffee machines, fire extinguishers, etc.)
Inventory with RFID!
How it works
With Asset.Desk you can print out RFID or barcode labels yourself. Ideally, RFID tags are printed using an RFID printer (inventory numbers, company logo, etc.) and encoded at the same time (inventory numbers, type of furniture, if applicable, etc.).
The data required for an inventory is transferred to the mobile device.
In the next step, the RFID labels or tags are attached when the inventory process is introduced and the respective objects are linked in the app.
With the RFID reader, all assets in a room can be recorded. The tags report back automatically.
Missing, moved, unexpected, counted and new objects are displayed in a clear list. Further new objects can be recorded directly afterwards.
synchronization with the Asset.Desk Database. The list of results can be edited. To avoid errors, changes to the inventory must be confirmed.
Eventually the inventory will automatically in Asset.Desk processed according to the inventory results and marked as recorded.
Mobile inventory support
FCS App Mobile+
Our mobile APP Asset.Desk Mobile+ supports inventory via RFID and offers the integration of RFID scanners, such as the powerful Zebra RFID8500, which is optimized and recommended for inventory processes. UHF-RFID-Reader and APP are connected with each other eg via Bluetooth standard.
Advantages of inventorying with RFID
- Labels are often attached invisibly (ie hidden), reading is often difficult even with a barcode reader: With RFID, there is no need to search under the desk: over a distance of several meters, UHF-RFID labels are automatically detected by the reader
- Scanning labels individually takes a lot of time: The time savings in inventory with RFID is around 80% (a walk through the room is usually enough)
- In addition to the inventory number, the memory of the RFID labels can also record many other data, such as model, serial number, date of purchase, warranty expiration or supplier
- Sometimes "asset corpses" are created that have been forgotten or overlooked: RFID labels draw attention to themselves on their own

Questions about inventory with RFID:
For whom is asset management via RFID particularly worthwhile?
The RFID technology is worthwhile for you if large numbers of inventory items or particularly valuable assets are to be recorded. Here, the conversion to RFID creates a significant acceleration of the inventory process and saves resources.
How does RFID facilitate asset management?
Active RFID tags have their own power source that enables them to automatically broadcast the asset information at a regular time interval using a radio signal. Passive RFID tags do not have their own power supply, the supply voltage is transmitted wirelessly from the reader to the tag. These are ideally used for inventory, as no constant information is required. As soon as it comes close to an RFID reader, the chip in the RFID tag is "switched on" and then sends the tag-specific hexadecimal value to the reader.
RFID technology enables IT administrators and inventory managers in several ways to keep track of their systems and achieve their IT or enterprise asset management goals. This includes system monitoring and tracking as well as the option of processing additional information about an asset when you have it right in front of you.
What are the biggest challenges when using RFID labels?
Identifying the right labels for the desired area of application represents the greatest challenge when using RFID labels. FCS offers cooperation with various suppliers to select the ideal labels for the RFID project. FCS specialists have the experience to advise you comprehensively.
What is required?
In order to work with barcode or RFID, the following is required:
- RFID printer
- RFID labels
- RFID reader
- Smartphone or tablet with Android or iOS operating system
- Asset.Desk incl. Asset.Desk Mobile+ and O-Data-Gateway (completely available in the Asset.Desk Mobile Inventory Edition)
How complex is the installation and setup of the database?
The installation of Asset.Desk (of the required software) and setting up the database can be done with just a few clicks.
How are the labels or tags encoded?
When encoding the labels or tags, a distinction must be made as to whether printers that encode labels via an RFID module can be used, or whether special tags that have to be encoded individually must be used. If everything runs via a printer, the time required is comparable to that of conventional labeling with barcodes. If there are only simple requirements for the inventory number ranges, then the tags can also be pre-coded during production in the factory.
Which tags are used?
Since every environment is different and a basic distinction must be made, for example whether furniture, office IT or server rooms are to be inventoried, this must be clarified in advance, ideally at a workshop. This is where it is decided which labels or tags have to be used in order to achieve the ideal result for the RFID project.
Can asset recordings also be made by untrained personnel?
The operation of the app Asset.Desk Mobile+ is intuitive. However, as with any activity, it is advisable to instruct the personnel deployed in the processes. Extensive training is not necessary.
