License balance

The License Balance as a central license management dashboard in AssetDesk gives you a complete overview of the assigned licenses at any time and shows where no licenses are assigned yet and whether there are still enough free licenses available. Software over- or underlicensing is a matter of the past in your company. The system makes it possible to assign purchased licenses to individual devices, users or even processors in a highly automated way. In addition, licenses can always be assigned manually. All essential license models (single, volume or company licenses, CAL, OEM, data center, etc.) are mapped. Upgrade and downgrade rights, the metrics of the software (e.g. computer or named user) as well as properties such as test license, backup license, bundle license or licenses with secondary usage rights can be set in the license. Optionally, virtualized environments, cloud environments (Office 365, Adobe Creative Cloud, G Suite), office IT and data centers can be optimally managed with the Asset.Desk LicenseMaster Edition.

License contracts

You manage all contract information important for a license audit per license entry. You will be informed about the exact terms, contract conditions and information on which contract was used to acquire a license. Whether a license is valid is automatically checked over the contract term. The resubmission function keeps you up to date on the license expiration and notice period. Contract relations enable you to manage outline agreements.

With LicenseMaster Edition, licenses can be managed by region and locations, departments or employees can be assigned exactly.

Online software catalogue (optional)

With LicenseMaster Edition, licenses can be managed by region and locations, departments or employees can be assigned exactly. With the central software catalogue, we always offer you the most up-to-date catalogue products requiring a licence, including the recognition rules for online retrieval from Asset.Desk. These include Adobe and Microsoft Office products. You do not need to manually create your own software catalog or create all recognition rules for catalog products. License models and metrics are determined automatically and requirements are determined. We take over the central maintenance of the catalogue products for you.

Application metering (optional)

Enables unsuspected savings potential. Measured data gives you information about which software applications are actually used in your company and which are therefore needed. You will receive comprehensive reports and graphical history displays in order to be able to license precisely. Software usage via terminal clients is also recorded and included in the analyses.

Cloud scanner for software subscriptions (optional)

With the Cloud Scanner you can scan your purchased license plans,
software products, SKUs, and licensed user accounts from Office 365, Adobe Creative Cloud, and G Suite. See the current status of your software subscriptions with the number of purchased, free, and assigned licenses directly in Asset.Desk. With licensed user accounts, License Management can automatically assign catalogs and licenses for software subscriptions to Asset.Desk employees. Newly licensed users are automatically provided with catalog and license, and for deleted user accounts in the cloud, catalog and license are revoked from Asset.Desk employees. In this way, the licenses of your software subscriptions in the cloud are always exactly included in Asset.Desk’s license balance.

Again, the cloud scanner retrieves the software products you have purchased, applications and services included, and the associated authorized user accounts from the Adobe Creative Cloud. Asset.Desk also gives you an overview of the total and free cloud licenses of your software subscription.

The G Suite Scanner always retrieves the latest SKUs (software subscriptions) you have subscribed to, the apps and services available for them and the associated authorized user accounts from the G Suite Cloud. In Asset.Desk, you can always see which employees are licensed for the SKUS “G Suite Business”, for example.

Add-on options

This module provides you with a commercial overview of your IT values – whether purchased, rented, leased or already written off and disposed of. The “Object book” function allows you to record all costs that can be assigned to a device, a software license, a piece of furniture or an employee. With Asset.Desk, repair, service and other costs, for example, can be managed and evaluated according to cost center. In IT asset management, software license costs can be automatically allocated to cost units.
All reports and cost analyses can be exported, directly printed or automatically used as reports. In this way, you create the basis for detailed activity allocation to cost centers and company codes (clients).
