Challenge

The car dealership is one of the three companies from which the "Autohaus Wolfsburg Hotz und Heitmann Gruppe" emerged. At the same time, the Schade vehicle dealership and Hotz GmbH & Co. KG were involved in the merger in 1999. Since then, the group has continued to grow, and today 25 car dealerships at nine locations are managed by Dirk Schröder, IT manager at Autohaus Wolfsburg, and his team.

Due to the constant growth of the IT infrastructure, clear documentation of the inventory in a central database became necessary. To do this, the Wolfsburg car dealership needed a content-related and commercial overview of the hardware and licenses.

In the beginning, people tried to get control of the situation with Excel spreadsheets for many years. However, this proved to be time-consuming and insufficient for managing the complex processes of IT asset lifecycle management. In 2012, the IT managers at the individual companies decided to look for a professional IT asset management solution

It was significantly quick and easy to be able to manage hardware, software, licenses and contracts in one decentralized solution.

Solution

After an extensive test phase and several product comparisons, the project managers found the program Asset.Desk and the software company FCS Fair Computer Systems already found the solution they were looking for in spring 2014 – the tool has been used successfully ever since and has been continuously adapted to new needs.

It was important for those responsible that not too much had to be adjusted or individually programmed. In addition, it was decisive for a decision that the existing inventory with the App Asset.Desk Mobile+ can be recorded across all locations in a short time and mobile. In this way, the initial inventory, which took place by labeling the IT values ​​at the locations, could be implemented quickly.

The manufacturer adapted the software for the car dealership in such a way that a rolling inventory is possible on sight, for example via the smartphone carried by an IT employee. In addition, device relocations, repairs, inspection sticker appointments, etc. can be documented directly on site via mobile devices.

Additional central topics during the introduction were the IT purchasing process and the verification of the asset life cycles. Currently the whole asset lifecycle process is in Asset.Desk shown - from the offer to disposal. About the purchasing module Requests for quotations and orders are made. After the goods have been checked, they are pushed into the incoming goods department and assigned to the right employee when they are set up with the app. As soon as an object is no longer required, it is disposed of and the disposal document is passed on to accounting.

Otherwise, the Wolfsburg car dealership wanted to automate further IT management processes. Based on the data from the asset solution, the HEINZELMANN Service.Desk as a helpdesk system and the solution Install Desk used for software distribution. The car dealership thus has everything from a single source and works with the same data across all locations. This creates several advantages: Tickets in the helpdesk can be linked to the devices from the asset database, so that the responsible support staff always know which device it is, where it is located, how it is configured and what incidents already exist for this asset or the employee using it have been registered. This gives the IT department an additional overview of how often and which problems a specific device has caused. At the same time, the recording of incidents also serves as proof of the services of the IT department.
